Plans change. Here is exactly what happens if you need to cancel — clear timelines, honest deductions, and special care for weather and medical situations.
Cancellation charges depend on how far before departure you cancel. Because we pre-commit to vendors (hotels, helicopters, permits), later cancellations recover less.
These are general guidelines; specific trips with non-refundable components (e.g. helicopter charters, premium retreats) may carry different terms, which we state clearly at booking.
Himalayan helicopter operations are weather-dependent. We build buffer days into itineraries and never pressure operators to fly in unsafe conditions.
If a sector or darshan cannot be completed due to weather, we first attempt to reschedule within your trip window. Where a component is genuinely lost, we refund the recoverable portion of that component — transparently, with the vendor's terms shown to you.
If you or a travelling family member faces a genuine medical emergency before or during the trip, contact us immediately. We will do everything reasonable to reschedule, substitute travellers, or recover refundable amounts from vendors on compassionate grounds.
We recommend travel insurance precisely for these situations, as it covers far more than our vendor terms allow us to refund.
Approved refunds are processed to the original payment method within 7–14 working days of confirmation. For NRI bookings, currency conversion and banking timelines may extend this slightly.
If Satvik Trails fails to deliver a confirmed service through our own fault, you are refunded for that service in full — and we will tell you what went wrong honestly. We would rather lose margin than lose your trust.
